Creating Jobs

There are two ways to create a job in Tallie: from an approved estimate (the most common path) or as a standalone job. This guide walks you through both approaches.

What You’ll Learn

  • How to create a job from an approved estimate
  • How to create a standalone job
  • What gets carried over from the estimate
  • Setting up your job with scope, crew, and instructions

From an Approved Estimate (Primary Flow)

This is the most common way to create a job. When a client approves your estimate, you turn it into a job with a couple of clicks.

Step 1: Go to the Approved Estimate

Open the estimate that your client has approved. You’ll see a Create Job button on the estimate detail page.

Step 2: Click “Create Job”

Click the button and Tallie will create a new job pre-filled with information from the estimate.

Step 3: Review What Carried Over

When you create a job from an estimate, the following is automatically carried over:

  • Line Items - All materials, labor, and quantities from the estimate
  • Client - The client associated with the estimate
  • Service Address - The job site location
  • Job Title - Based on the estimate name

This saves you from entering everything twice. Your estimate is the plan, and the job is the execution.

Step 4: Set Up the Job

With the basics in place, fill in the execution details:

  • Title - Adjust the job name if needed (e.g., “Smith Kitchen Remodel - Phase 1”)
  • Scope & Instructions - Add specific work instructions for your crew
  • Crew Assignment - Assign team members who will do the work
  • Schedule - Set the planned start and end dates

Standalone Job Creation

Sometimes you need to create a job without an estimate — for small jobs, repeat clients, or work you’ve already agreed on verbally.

Step 1: Go to the Jobs Page

Navigate to the Jobs section from the main menu.

Step 2: Click “New Job”

Click the New Job button in the top right corner. Tallie will create a new job in Draft status.

Step 3: Fill in the Details

Since there’s no estimate to pull from, you’ll need to enter:

  • Job Title - A clear name like “Wilson Deck Repair” or “456 Oak St Exterior Paint”
  • Client - Who you’re doing the work for
  • Service Address - Where the work will happen
  • Line Items - Add the materials and labor for this job
  • Scope & Instructions - What needs to be done

Step 4: Assign Crew and Schedule

Once the details are in place:

  • Assign Crew - Pick the team members for this job
  • Set Dates - Choose the planned start and end dates

Setting Up Your Job

Whether you created the job from an estimate or from scratch, here are the key things to configure.

Scope and Instructions

The scope section is where you describe the work in detail. This is what your crew sees, so be specific:

  • What rooms or areas are included
  • What materials to use
  • Any special instructions or client preferences
  • Access details (gate codes, parking, etc.)

Crew Assignment

Assign one or more team members to the job:

  1. Click Assign Crew on the job detail page
  2. Select team members from your roster
  3. Each assigned member will see the job on their schedule

Schedule Dates

Setting dates puts the job on your calendar:

  1. Click the Schedule field
  2. Choose a start date
  3. Choose an end date
  4. The job will appear on your scheduling calendar

Tips

  • Create jobs promptly - When an estimate is approved, create the job right away so you don’t lose momentum
  • Be specific in scope - The more detail you put in, the fewer questions your crew will have on-site
  • Assign crew early - This helps with scheduling and lets your team plan ahead
  • Use clear names - Include the client name or address so jobs are easy to find in your list
