Managing Client Addresses

Tallie uses a dual-address system to handle where invoices are sent vs where work is performed. Each client can have multiple addresses, categorized as either billing or service addresses.

What You’ll Learn

  • Understanding billing vs service addresses
  • Adding and managing multiple addresses
  • Setting primary addresses for each type
  • How addresses flow to estimates, invoices, and projects

Billing vs Service Addresses

Tallie distinguishes between two types of addresses:

Address TypePurposeWhere It Appears
BillingWhere invoices and correspondence are sentInvoices, payment reminders, statements
ServiceWhere work is performed (job sites)Estimates, project details, work orders

Why This Matters

Consider a property manager with 10 rental units. They want:

  • All invoices sent to their office (billing address)
  • Estimates and work orders to reference the specific property (service address)

Or a homeowner who:

  • Receives invoices at their primary residence (billing address)
  • Needs work done at their vacation home (service address)

With Tallie’s address architecture, you set this up once and the right address appears in the right place automatically.

Adding an Address

Step 1: Go to the Client Detail Page

Click on a client from your client list to open their profile page.

Step 2: Find the Address Sections

You’ll see two address sections:

  • Billing Addresses - For invoicing
  • Service Addresses - For job sites

Click the Add button in the appropriate section.

Step 3: Fill in the Address Form

FieldDescription
LabelA name like “Main Office”, “Downtown Property”, “Vacation Home”
Address Line 1Street address - use search for autocomplete
Suite/UnitApartment, suite, or unit number
CityCity name
StateState abbreviation
Zip CodePostal code
Set as primaryMake this the default for its type

Step 4: Save

Click Add Address to save. The address appears in the appropriate list.

Primary Addresses

Each client can have one primary address per type:

  • One primary billing address
  • One primary service address

Primary addresses are used as defaults:

  • Primary billing → Auto-selected for new invoices
  • Primary service → Suggested when creating new estimates

To set a primary address:

  1. Edit an existing address
  2. Check the Set as primary address box
  3. Save changes

When you set a new primary, the old primary for that type is automatically unset.

Using Address Autocomplete

When typing in the Address Line 1 field, Tallie searches for matching addresses. Select one from the dropdown and city, state, and zip fill in automatically.

How Addresses Flow Through Tallie

Understanding where each address type appears:

On Estimates

When creating an estimate, you select a service address from the client’s saved locations. This represents where the work will be performed.

The service address:

  • Shows on the estimate PDF
  • Gets carried over when converting to a project
  • Is snapshotted on the invoice for permanent records

On Invoices

Invoices display both address types:

  • Billing address → In the “Bill To” section
  • Service address → In the “Service Location” section (if set)

The service address is stored as a snapshot when the invoice is created, so it won’t change even if the client updates their addresses later.

On Projects

Projects inherit addresses from their source estimate:

  • The service address from the estimate becomes the project location
  • The client’s billing address is used for any invoices generated

Editing Addresses

  1. Find the address in the appropriate section
  2. Click the edit icon (pencil)
  3. Make your changes
  4. Click Update Address

Note: Editing an address updates it everywhere it’s referenced—except on already-created invoices, which store a snapshot.

Deleting Addresses

  1. Hover over the address
  2. Click the X icon
  3. Confirm deletion

Caution: You cannot delete an address that is currently linked to active estimates or projects. Remove those links first.

Managing Many Addresses

For clients with many locations (like property management companies):

  • Use clear labels - “Unit 4A - Oak Street” is better than “Address 4”
  • Search addresses - Use the search bar above each address list
  • Set primaries wisely - The most common billing and service locations should be primary

Tips

  • One billing, many service - Most clients have one billing address but may have multiple job sites
  • Labels help - Descriptive labels prevent picking the wrong address
  • Check before sending - Preview estimates and invoices to verify addresses are correct
